Hiring Workflows

A job brings together the role details, owners, hiring stages, candidates, reports, interviews, offers, sourcing, and approval work. The actions shown depend on the job status, your access, and the features enabled for your organisation.

Prepare the role title, description, positions, location, experience, skills, employment details, owners, and proposed evaluation stages. Salary, education, deadline, and communication settings are optional where the form allows them.

The create flow can draft or improve a description with AI. Your team should review generated wording for accuracy, inclusion, and role-specific requirements before saving it.

The form can extract locations, employment type, salary, experience, and must-have or good-to-have skills. Conflicting extracted values are shown for confirmation before replacement.

The job form lets you choose recruiters and hiring managers. What each person can view or change depends on their RedyHire permissions.

You can build the evaluation plan using the stage types available to your organisation, such as Intake, Assessment, AI Interview, Human Interview, Psychometric, Pre-Offer, and Offer. Some stage types appear only when the related feature is enabled.

Review the job details, owners, positions, pipeline order, selected assessments or interviews, candidate instructions, communication settings, and any approval flow. Required or invalid fields block submission.

Draft is still being prepared, Pending Approval is waiting on the configured approval process, Published is active for hiring, and Closed is no longer accepting applications.

The current close confirmation describes closing as irreversible. Teams should complete required candidate and reporting work before closing the job.

The Jobs list shows the Copy action only for jobs that can be copied. RedyHire uses the existing job as a starting point, but your team should review the copied details before publishing it.

Recruiters can add or invite candidates to a selected job stage. Candidates may also come from the sourcing tools when those tools are enabled.

The available actions depend on the stage. Recruiters may be able to invite candidates, open their reports, move them, review their work, or complete other actions allowed for that stage.

The report brings together the candidate's job details and the results available for the selected stage. The exact sections depend on whether the stage is an Assessment, AI Interview, Psychometric, Human Interview, or another job stage.

A PDF download is available only on report views that provide this action. The recruiter should check the selected report page instead of assuming that every stage has the same download option.

These actions appear only where the candidate report and your organisation's settings support them. They are not standard actions on every stage report.

Notes are saved against the candidate’s job record and shown in the candidate workspace. Access should be limited to users who need the context for hiring decisions.

A Human Interview stage can use an interview-loop template. The template gives the team a reusable order of rounds, competencies, and interview settings for planning the interview process.

When the job includes a Psychometric stage, the candidate report can show the returned psychometric information and any report download provided on that page.

A Pre-Offer stage can use a selected Form Template to request structured information or documents before the final offer stage.

The Offer stage can hold the candidate's offer information and signed-offer document. An offer email can be sent only when that action is available for the candidate and stage.

When sourcing is enabled globally and for the job, the job shows a Sourcing workspace. Suitable prospects from a job-managed search can be added to the job’s first stage.

The job follows the configured approval process. The job-specific approval page shows the approver chain and the actions currently available, such as sending approval emails or publishing when the job is ready.

The job approval workflow can offer force publish to authorised users. It requires an override comment so the exception is recorded with the job.

Check the job status, candidate stages, connected assessments or interviews, owners, approval state, and candidates already in the process. A change to a live job can affect the work recruiters and candidates see next.

No. It shows the approval details for one selected job. Open it from the job workflow; if no job is selected, the page shows an error.

It is set while creating or editing the job, when Job Approvals is enabled. The setup needs at least one approver and an approval order.

Yes. The job configuration records sequential or parallel order, which defines how the approver chain is intended to proceed.

The page shows the approver and the current status. Comments are shown for rejected and overridden outcomes when those comments are available; a comment is not guaranteed for every status.

The current UI accounts for Pending, Approved, Rejected, and Overridden states.

Pending approvers can be added, changed, or removed. Approvers who have already approved or rejected remain in the history.

The approver editor checks the selected chain and prevents the same person from being added again.

No. This view does not provide Approve or Reject actions. Approver decisions are collected through the configured approval process.

Yes. When Send Approval Emails is shown and the user has the required access, RedyHire sends the approval email to that job's configured approvers.

Publishing depends on the approval state returned for the job and the user's permission. The administrator should review the displayed chain and use the action currently offered by the page.

It lets an authorised user publish the job without completing the normal approval result. It does not record an approver's approval.

Yes. The override flow requires a comment so the exception is recorded with the job.

Decide who can approve, whether approvals are sequential or parallel, who sends reminders, who can publish, when an override is allowed, and who will review rejection or override comments.
